Since 2014, data has been collected using the Qualtrics survey platform and benchmarking has been available through a bespoke toolkit developed for analysis. CASE has its own toolkit, the CASE Benchmarking Toolkit. The CBT can facilitate both data collection and benchmarking for the Ross-CASE Survey.
CASE consulted with survey participants in April 2017 and discussed the findings with the Ross-CASE Editorial Board. It was decided to migrate the Ross-CASE survey to the CASE Benchmarking toolkit to facilitate a better user experience and allow for benchmarking for all survey questions. All of CASE's surveys are now hosted on one platform. This facilitates future upgrades to benchmarking and analysis on the toolkit.
The CASE Benchmarking Toolkit is a state-of-the-art survey tool that helps advancement professionals benchmark activities, staffing, budgets and other aspects of their programmes with peer institutions. The toolkit allows peer communities to design and conduct their own surveys, review results and instantly download charts directly into reports. CASE Research uses the toolkit to conduct several annual surveys.
Any member of staff from CASE member institutions, who has registered on the CASE website, is eligible for access to the toolkit. Please email europe@case.org to grant or revoke access for yourself or your colleagues to the toolkit.
The institutional login details that allowed an institution's primary contacts to take part in previous Ross-CASE surveys will no longer be active.
The old Ross-CASE toolkit will no longer be active, as of 1 September 2017. Institutions will have until that date to log in using existing institutional login details to download any information needed from this toolkit.
There will be no hard copy data sharing agreement for the Ross-CASE survey from 2016-17 onwards and all participating institutions will be expected to agree to data share by default. To safeguard the data submitted, all participating institutions will be required to opt into an online data sharing clause and provide contact details for the person signing off on the data submission on behalf of the institution.
This means that institutions will get access to all data submitted as part of a given survey cycle irrespective of the questions answered by your institution. However, it is essential that you complete all the required questions in your institution's return. See question 13 "Are all questions required?" for more details.
In short: No.
Please email europe@case.org for a copy of the Ross-CASE Survey Supporting Document.
We have created a CASE Community to collect feedback, comments, suggestions and thoughts on the Ross-CASE survey. The survey script will be updated next year when the 2017-18 survey goes live. We encourage institutions to participate in the community and suggest changes or improvements to the survey script and supporting document.
Institutions are encouraged to complete as many questions as possible. Sixty-five of the 125 questions are required. Where appropriate, questions in the online survey, Excel template and Supporting Document are clearly marked as REQUIRED.
Please do not leave these required questions blank or opt out of answering them in the online survey. Please aim to answer all the required questions. If your institutions is unable to answer all the required questions, please email europe@case.org.
There are no validation checks on the online survey, which means institutions will be able to complete and submit a survey even if the required questions are not completed. It is important that institutions refrain from doing this, since returns with blank answers or opt-outs for required questions will be considered incomplete when analysing the data and will need to be manually queried at the analysis stage. Querying these at the analysis stage will be a time-consuming process and could delay the release of the data.
Institutions who are unable to submit data for all the required questions may be removed from the final online dataset. Hence, please use the Excel template to prepare your return and ensure you have answers to all the required questions before attempting to complete the online dataset.
No, the CASE Benchmarking Toolkit has no validation or logic checks to guide institutions through the online data entry process. This increases the chances for erroneous data to be entered into the toolkit. Hence, it is highly recommended that all institutions prepare their return in the Excel template first. The Excel template has formulas which serve as validation checks. Once the data in the Excel template is free from errors and has been signed-off, should it be entered into the online CASE Benchmarking Toolkit.
No, there is no question piping or routing. The opt-out box will allow institutions to opt-out of answering questions that do not apply, or that they cannot answer. See the ‘How-to-guide' for more details.
The opt-out box should not be used to skip required questions. See question three for more details. See question 13 for more details.

Yes. Data entered in previous Ross-CASE surveys can be pulled into the toolkit. This can be done by clicking on the clock icon next to the answer field. See the how-to guide for more details.
Yes, responses can be saved to allow the survey to be completed in parts. Answers for each section must be saved before proceeding to another section, before leaving the survey or before closing the webpage. See the how-to guide for more details.
Answers can be updated at any time during the survey cycle prior to the creation of the final data set. The data set is generally finalised by February each year. If institutions wish to make any changes to the data submitted once the final data set has been confirmed for analysis, this will need to wait for the next survey cycle to begin. The new survey cycle generally begins in September each year. Please email your request to europe@case.org.
Yes, benchmarking will be available for all survey questions irrespective of the questions your institution has answered. However, it is essential that institutions complete all the required questions. See question three for more details. See question 13 for more details.
Participants can use the multi-institution reports or multi-year reports to benchmark the data. Please refer to the how-to guide for more details.
