This page contains a lot of information for your involvement at the 2020 CASE District I Conference. We recommend that you bookmark this Sponsor Resource page for future reference.
To finalize your sponsorship, you need to :
- Return an executed sponsorship contract to CASE District I
- Register for the conference, and pay for your sponsorship, via the Sponsor Registration link below
You must have a sponsor contract from CASE District I before submitting your registration. Registrations received without a sponsor contract may not be accommodated. If you have any changes or any questions related to your contract or registration, please contact the CASE District I office at 781-647-8151.
Sponsor Registration
This form will allow you to:
- Share information with us about your company
- Identify the representatives who will attend the conference
- Submit payment for your sponsorship
Payment for Your Sponsorship
You may pay for your sponsorship by credit card or by check. All sponsorships must be paid prior to Feb. 11, 2020, in order to participate in this year’s conference.
A confirmation email will be sent to you immediately upon completion of the sponsor registration form. If you indicate that you will pay by check, this email will serve as your invoice. If you pay by credit card, you will also receive a receipt of the payment transaction (from Authorize.net).
Updating Your Information with Us
You may access the sponsor registration form as many times as you like between now and the conference. This means that you can submit the form now even if you don’t have all your information ready yet…and you can return to the form and provide updates whenever you like in advance of the conference.
The confirmation email will provide you with a link and instructions on how to re-access your registration form so that you can update information or provide additional information. Please save your confirmation email as the link will not be published.
Note: Payment information cannot be revised. If you would like to revise any sponsorship details that will change the amount due, please contact the CASE District I Administrator.
What Do I Need to Provide on the Sponsor Registration Form?
The sponsor registration form will request:
- Contact information for the administrative contact at your company
- Contact information for the conference contact at your company (if different from the administrative contact; the conference contact would be the person who receives details about the conference agenda and Exhibit Hall booth logistics, and who serves as the conference committee’s main point of contact during the planning process)
- The names, titles and email addresses for the company representatives who will attend the conference (note: Changes will be considered final as of March 2, 2020, at 5 p.m. ET)
- Anticipated meal participation by and dietary restrictions for these representatives (note: Changes will be considered final as of March 2, 2020, at 5 pm ET)
- Whether or not your company will contribute an Exhibit Hall passport prize for the conference closing ceremony
- Your company’s logo (JPG, EPS, or PING, maximum file size 5MB, label with company name, due by Nov. 15, 2019)
- Your company profile (including company name, address, website, general phone number, and 40-word maximum description, profiles to be posted on the CASE DI online Sponsor Directory.)
- Your company’s ad for the conference program
Your Company’s Advertisement for the Conference Program
The deadline for submitting a company ad is Friday, Nov. 15, 2019, at 5 p.m. ET.
The specifications call for the delivery of either (1) an EPS file with all typefaces converted to outline, or (2) a JPEG file or a TIFF files at 300 dpi at actual size. Please submit a color ad according to the size specifications below. Please submit an advertisement that meets your company’s qualifications in color and you will be contacted if any additional material is needed. Please use the following naming format for your ad: CompanyName_sponsorshiplevel.
- Diamond Sponsors: 4.5 inches x 6.5 inches vertical
- Platinum Sponsors: 4.5 inches x 6.5 inches vertical
- Gold Sponsors: 4.5 inches x 3.0 inches horizontal
- Silver Sponsors: 4.5 inches x 3.0 inches horizontal
- Bronze Sponsors: 4.5 inches x 2.0 inches horizontal
Your Representatives at the Conference
The sponsor registration form will request the names of the representatives from your company who will attend the conference. You can update the sponsor registration form to change the names of these representatives until March 2, 2020, at 5 p.m. ET. If you would like to register additional company representatives, you may do so by contacting the CASE District I office at 781-647-8151 or [email protected]. There is a $300 registration fee per extra representative.
Information from the Conference Drayage Company
Freeman and Co. handle the details of the CASE District I Conference Exhibit Hall, including the setup of exhibit booths. Each exhibit booth includes an 8′ x 10′ booth set with 8′ high black back drape, 3′ high black side drape, (1) 6′ black-draped table, (2) chairs, (1) wastebasket, and a 7″ x 44″ one-line identification.

Electrical and audio/visual needs are handled by PSAV at the Westin.

Exhibit Hall and Meals
Sponsors can pick up conference registration materials and set up their Exhibit Hall booth on the 4th floor of the Westin Copley Place between 2-4 p.m. on Wednesday, March 11, 2020.
Exhibit Hall hours are Thursday, March 12, from 7:30 a.m. to 5 p.m. and Friday, March 13, from 7:30 a.m. to 1:45 p.m. The Conference Closing Ceremony and Networking Reception will take place in the Exhibit Hall from 12:45 to 1:30 p.m. You will not be able to break down your booth until after the Closing Reception.
Breakfast and lunch will be provided for you and your registered representatives in the Exhibit Hall on Thursday, March 12, and Friday, March 13.
Sponsor Promotional Events at CASE DI
Contracted CASE District I 2020 Conference sponsors are welcome to host their own promotional events around the Conference schedule to share their goods and services. These events must be hosted outside of the official Conference schedule: Wednesday, March 11 from 10 a.m. - 4:45 p.m., Thursday, March 12, from 8 a.m. - 5 p.m., and Friday, March 13 from 8 a.m. - 1:30 p.m.
If a conference sponsor wishes to use event space at the Westin Copley Place Hotel (Boston, Massachusetts), the hotel and CASE District I 2020 Conference leadership teams will review the sponsor event request to confirm that it does not conflict with the overall Conference schedule.
Information about the Westin Copley Place
A block of rooms is being held at the Westin Copley Place for conference participants. Subject to availability. A personalized web site for the CASE 2020 District Conference is being created for CASE District I Conference attendees and will be available soon.
CASE Conferences participants have recently become the target of wholesaler companies trying to sell rooms for CASE Conferences or attendee information. If you receive a phone call offering to make your reservation and take credit card information over the phone for a CASE Conference OR offering to sell you conference attendee details, do not conduct either transaction! You run the risk of arriving at the hotel and not having a reservation, being unable to change or cancel your reservation without penalty, possibly compromising your credit card details, or receiving non-CASE related information. Please call the CASE District I office at (781) 647-8151 to alert us to any phishing attempt or with any questions.
Cancellation Policy
Requests for refunds by sponsors wishing to cancel their commitment must be submitted in writing and received no later than Wednesday, January 8, 2020, at 5 p.m. ET.
Requests for refunds on or before the above deadline are eligible for a 100% refund; requests for refunds after the above deadline are subject to a 50% administrative fee. All special event fees are nonrefundable.
