Executive Summary Dashboards Project
From the Nominator
"In November 2022, our vice president requested that Advancement Services design a new suite of dashboards that could be shared with the Board of Trustees and institute leadership. The challenge was that we only had three months' time to complete this project. The new accountability report needed to be shared with the trustees at their next meeting in January 2023. Caltech's most recent accountability reports had been retired at the conclusion of our last campaign in September 2021.
For the new dashboard suite, we wanted to find a better way to extract the data from our CRM, minimize the amount of time it took to validate the data, reduce the number of staff involved in the process, and we wanted to have the functionality of being able to produce the new dashboards on demand (not just on a quarterly basis). In addition, we wanted to build out the dashboard suite using Tableau rather than InDesign, which few staff knew how to use. Luckily, in 2017, Caltech began utilizing Tableau as a data visualization and reporting tool, and staff had become more adept at using the software.
Utilizing an iterative "wall walk" approach, we designed a comprehensive suite of six dashboards that highlighted the following KPIs and metrics: 1) Fundraising Summary Report; 2) Fundraising Performance Report; 3) Campaign Fundraising Progress; 4) Campaign Pipeline; 5) Boards and Councils Giving; and 6) Caltech Living Alumni."
From the Judges
The panel thought highly of your nomination. Well done for highlighting your project's successes. We really like the concept of the "wall walk" as a way to incorporate more inputs into the early design process, especially as a comprehensive assessment of the present report components. Well-presented dashboard and report with excellent graphics. This one distinguishes itself because of its carefully considered design and customer-centered strategy.
